Before You Arrive

Pre-Arrival Checklist

  • Confirm your department call time with your lead — not all departments load in at the same time.
  • Bring valid photo ID. You will not be credentialed without it.
  • Wear steel-toe boots, long pants, and a high-vis vest for all build and strike shifts.
  • Apply sunscreen before you arrive — you'll be outdoors for extended periods.
  • Pack water, snacks, and weather-appropriate layers. This production does not offer craft services — plan your meals accordingly.
  • Charge your radio and confirm your assigned channel with your department head.
  • Review the site plan before arrival: it will save you time on the ground.

Your Route In

Enter via E 4th Ave and follow event signage. Production vehicles requiring load-in access should coordinate gate entry through the Production Office in advance.

Where to Park

Production and crew parking is in Zone B, accessible via E 4th Ave. Follow event signage to the Zone B lot. Display your parking pass on the dashboard at all times. Unauthorized vehicles will be towed. Executive staff park in Zone A.

Arriving by Rideshare

The rideshare loop is on E 32nd St and E 2nd Ave, eastbound only — no left turns. Have your driver follow signage to the designated drop-off zone. From the drop-off, follow signage to the Clubhouse Entrance (next to VIP Tables).

Arriving by Public Transit

MetroRail Green Line to Hialeah Station (125 E 21st St). From the platform, take the pedestrian bridge over the tracks to the north side, then follow event signage through the parking lot to the Clubhouse Entrance (next to VIP Tables). Runs 5 AM to midnight. $2.25 per trip. MetroRail shuts down around midnight — have a rideshare plan for the way home.

Check-In & Wayfinding

However you arrive — by car, rideshare, or transit — follow event signage toward the venue entrances.

If you do not have your credential, proceed to Staff Check-in at the Clubhouse Entrance (next to VIP Tables) with valid photo ID to pick up your wristband and lanyard. If you already have your credential, enter through the Clubhouse Entrance. Wear your credential visibly at all times. Lost credentials must be reported to the Production Office immediately.

A Few More Things

  • Cell service will be unreliable during peak hours. Rely on radios for all operational communication.
  • The Command Center and Production Office are located in the Turf Lounge on the ground floor of the VIP Clubhouse, accessible through the Clubhouse Entrance. The Green Room is on the third floor of the Clubhouse. The Command Center is restricted to Core credential holders and public safety leadership only. For admin, radios, and crew services, report to the Production Office.
  • The Clubhouse is a historic building. Do not drill, nail, screw, or tape into any original surfaces without explicit approval from the Venue Liaison.
  • No personal vehicles are permitted beyond your assigned parking zone. All gear moves via hand cart or approved production vehicle only.
  • Pets, personal guests, and children are not permitted in production areas at any time.

Radio Protocol

Workplace Safety Rules

  1. No work above 6 feet without fall protection. Period.
  2. Hard hats are mandatory in any active rigging or overhead work zone.
  3. Steel-toe boots required during all build and strike shifts.
  4. Hearing protection required within 25 feet of the main PA during tuning and show.
  5. No open-toe shoes, sandals, or loose clothing in production areas.
  6. Report all injuries — no matter how minor — to the Production Office immediately.
  7. Fire extinguishers must remain accessible at all times. Do not block, move, or obscure them.
  8. All electrical work must be performed by a licensed electrician. No exceptions.
  9. Forklift and boom lift operators must be certified. No unauthorized operation.
  10. Keep walkways, exits, and emergency equipment clear at all times. Zero tolerance.

Public Safety & Emergency Response

Emergency Procedures

  1. Call "Code Red" on CH 1 (Emergency) with your location and what you see.
  2. For fire: activate nearest fire alarm pull station if indoors. Attempt to extinguish only if trained and fire is small. Otherwise, evacuate.
  3. For severe weather (lightning, high winds): Production Manager initiates weather hold. Evacuate outdoor positions to Clubhouse or Casino.
  4. Stage Manager halts performance. Audio secures FOH and monitor consoles.
  5. Security initiates zone evacuation per the evacuation plan and directs guests to shelter or assembly.
  6. Do not shelter under trusses, stages, tents, or trees. Clubhouse and Casino are approved shelters.
  7. Nobody re-enters until Fire Department or Production Manager gives "All Clear" on CH 1.

Good to Know

Fire extinguishers (ABC) are every 75 feet. For weather: resume only after 30 minutes of no lightning within 10 miles.

  1. Call "Code Blue" on CH 1 (Emergency) with your location and nature of emergency.
  2. Do not move the patient unless they are in immediate danger.
  3. Clear the area — create space for medical responders.
  4. Send a runner to guide the medical team to the patient if location is hard to find.
  5. If the patient is unresponsive, begin CPR if trained. Locate nearest AED.
  6. Production Manager notifies Executive Producer. Stage Manager assesses whether show continues.

Good to Know

AEDs are located at: Command Center (Turf Lounge), Production Office, GA Entrance gate, VIP Entrance, and Medical (north station).

  1. Call "Code Yellow" on CH 1 (Emergency) with the affected system or structure and your location.
  2. Evacuate the immediate area around the damage or failure.
  3. Power & IT team (CH 5) assesses if electrical. Site Ops (CH 3) assesses if structural.
  4. Stage Manager halts performance if stage or rigging is involved.
  5. Security cordons off the affected area. No one enters until it has been assessed.
  6. Production Manager decides whether to repair, work around, or evacuate.

Good to Know

This includes power failures, generator issues, truss concerns, barrier failures, and major equipment malfunctions.

  1. Call "Code Orange" on CH 2 (Security) with your location and severity.
  2. Security deploys the crowd management team to the affected zone immediately.
  3. Stage Manager communicates with artists — request a crowd address if safe to do so.
  4. Open additional exit lanes if available. Security clears barriers as needed.
  5. Medical team stages near the surge zone for potential injuries.
  6. Production Manager evaluates whether to continue, pause, or stop the show.

Good to Know

Crowd density is monitored by CCTV and security spotters. Intervene early — do not wait for a crush.

  1. Call "Code Green" on CH 2 (Security) with your location and a description of the incident.
  2. Do not confront the suspect or individuals involved. Observe from a safe distance and note descriptions and direction of travel.
  3. Security team responds to the area. ODPO (Off-Duty Police) may engage if warranted.
  4. Preserve any evidence. Do not handle unknown substances, stolen items, or contraband.
  5. If a guest is in medical distress from substance use, also call "Code Blue" on CH 1.
  6. Production Manager notifies Executive Producer if the incident is significant.
  7. File an incident report with the Security Director before the end of your shift.

Good to Know

This covers theft, burglary, drug or substance trafficking, and any other illegal activity observed on site. Do not pursue suspects off-site — let law enforcement handle it. Narcan (Naloxone) is available at First Aid stations and with roving medical staff.

  1. Call "Code Purple" on CH 2 (Security) with your location and the nature of the issue.
  2. Approach the situation calmly and with respect. Do not escalate.
  3. Security and Guest Services will respond to mediate.
  4. If the issue involves a guest, offer to relocate them to a comfortable area.
  5. Document the incident and notify the Production Manager.
  6. Follow up with all parties involved to ensure resolution.

Good to Know

Every person on this site deserves dignity and respect. Handle with care.

  1. Call "Code Pink" on CH 2 (Security) with your location and the type of animal if you can identify it.
  2. Do not approach, touch, or attempt to capture the animal.
  3. Keep guests and crew at a safe distance. Security will cordon off the area if needed.
  4. If the animal is aggressive or venomous, also notify CH 1 (Emergency) and keep all personnel clear.
  5. Production Manager coordinates with local animal control if removal is required.
  6. Document the incident and monitor the area until the animal has been safely relocated or has left on its own.

Good to Know

Hialeah Park is home to resident wildlife including iguanas, birds, and occasionally raccoons. Most animals are harmless and will leave on their own. Do not feed wildlife at any time.

  1. Call "Code White" on CH 2 (Security) — do not broadcast details on open channels.
  2. The Security Director responds and makes contact with the agency officials.
  3. Do not obstruct or interfere with government officials.
  4. Production Manager and Executive Producer are notified immediately.
  5. All crew cooperate fully. Do not destroy, hide, or alter any documents or materials.
  6. Legal counsel is contacted. Operations continue unless directed otherwise by authorities.

Good to Know

This includes ICE, fire marshal, health department, ABC (alcohol), or any government agency arriving on site.

  1. Call "Code Black" on CH 1 (Emergency) — do not broadcast details on open channels.
  2. If you hear or see a threat: run if you can, hide if you can't run, and fight only as a last resort.
  3. The security team responds immediately. ODPO (Off-Duty Police) engages.
  4. Production Manager calls 911 immediately.
  5. Stage Manager initiates a show stop if a performance is active.
  6. Do not pull fire alarms — this can create dangerous crowd movement toward the threat.
  7. Hold all positions until Security or Law Enforcement gives "All Clear" on CH 1.

Good to Know

ODPO officers are on-site and armed. Do not interfere with law enforcement response. Follow their instructions without question.

  1. Production Manager or Security Director calls "Full Evacuation" on CH 1.
  2. Stage Manager halts all performance immediately — house lights up.
  3. Audio plays the pre-recorded evacuation announcement (loaded on show playback).
  4. Security opens all exit gates and directs guests to the Assembly Point (Parking Zone C).
  5. All crew assist with calm, orderly movement toward exits. Use your flashlight.
  6. Medical team stages at the Assembly Point for triage.
  7. Production Manager conducts a headcount of all crew at the Assembly Point.
  8. Nobody re-enters the venue until "All Clear" is given on CH 1 by Production Manager or Fire/Police.

The pre-recorded evacuation announcement is Track 99 on the show playback system. Stage Manager confirms with Audio before broadcast.

The Answers You Need — Guest FAQ

Every member of this team should be able to answer the most common guest questions confidently and accurately.

Doors open at 6:00 PM for all guests — GA, VIP, and VIP Table holders.

Canela B2B Fiin open at 6:00 PM. Kaz James takes over at 7:30 PM, followed by Carlita at 9:00 PM. Black Coffee headlines from 10:30 PM until 1:00 AM.

GA is 18+ and VIP is 21+. A valid government-issued photo ID is required for entry — no exceptions. Acceptable forms include a driver's license, passport, or state ID.

There is no formal dress code, but we encourage smart-casual attire. This is an outdoor event on racetrack grounds, so comfortable shoes are recommended. Stilettos and open-toe shoes can be challenging on grass and gravel surfaces.

You may bring a small clutch or bag (no larger than 12" × 6" × 12"). Clear bags are encouraged for faster entry. Sealed, empty reusable water bottles are welcome.

This is a no re-entry event for GA and VIP guests — once you exit the venue, you will not be permitted to re-enter. Artists and touring parties may leave and return with their Liaison.

Yes. ATMs are located inside the Casino building and near the Clubhouse entrance. Standard transaction fees apply.

Visit Guest Services adjacent to the VIP Entrance during the event. After the event, contact info@clubspace.com with a description of the lost item.

Find any staff member or security guard — they will call for medical support immediately. Medical stations with EMTs and paramedics are located on the north side of the footprint and between the VIP Dance Floor and VIP Clubhouse. AEDs and first aid kits are positioned throughout the venue.

Yes. ADA-accessible entrances, viewing areas, and restrooms are available. If you need accommodation, contact info@clubspace.com before the event or ask any staff member in a high-visibility vest on-site.

Professional cameras, drones, GoPros, and recording equipment are not permitted. Phone cameras are welcome for personal use.

Yes. Designated smoking areas are located near the parking lot perimeter. Smoking is not permitted inside any building or in the GA or VIP areas.

Prohibited items include: weapons or sharp objects, illegal substances, outside food or beverages, professional cameras or recording equipment, drones, laser pointers, fireworks or flares, large bags or backpacks, chairs or blankets, glass containers, and any item deemed a safety risk by security.

Our trained staff and security team will assess the situation compassionately. Guests who are visibly over-served will be offered water, a seat in a monitored area, and assistance arranging a safe ride home. Beverage service will be paused for that individual. We prioritize safety and dignity. Note: alcohol service is limited to guests 21+ with valid ID.

GA (18+) gives you full access to the Dance Floor, Grandstands, and all GA bars and amenities. VIP (21+) includes everything in GA plus access to the VIP Clubhouse and VIP Dance Floor with premium bars, elevated viewing, and dedicated restrooms. VIP Table holders receive a reserved table, bottle service, and a dedicated server.

VIP Table holders receive a reserved table in the VIP Clubhouse with bottle service. Your dedicated server will be introduced upon arrival. Minimum spend requirements apply per your booking confirmation. Doors open at 6:00 PM.

Visit Guest Services adjacent to the VIP Entrance. Bring your ID and ticket confirmation — they can issue a replacement. A replacement fee may apply.

Crew Intel

The Production Office is in the Turf Lounge on the ground floor of the VIP Clubhouse, accessible through the Clubhouse Entrance. The Command Center is in the same room. The Production Office handles admin, crew services, and radio distribution. The Command Center is separate and restricted to Core credential holders and public safety leadership.

Radios are distributed at the Production Office during check-in. Return your radio to the Production Office at the end of your shift or at strike. You are responsible for your assigned radio.
